Why most late-rent problems are process problems
Arrears rarely start big. They start with a tenant who is a week late and a landlord who doesn't want to be awkward about it. Two months later it's a five-figure problem and a Landlord and Tenant Board hearing that is months away. The fix is boring and consistent: a clear payment method from day one, a reminder the day after rent is due, and a written notice when the reminder doesn't work.
How we collect
- Set up at lease signing. Tenants enrol in pre-authorized debit or are given clear e-Transfer instructions before they get keys.
- Rent day. Payments are reconciled to each tenant ledger as they arrive.
- Day after. Any unpaid balance gets a reminder by text and email, and a call.
- If it's still unpaid. We prepare and serve a Form N4, Notice to End your Tenancy Early for Non-payment of Rent, with the arrears calculated correctly — a surprisingly common reason landlords lose at the Board.
- If the N4 doesn't resolve it. With your approval we file an L1 application with the LTB and manage it through to hearing, mediation or a payment agreement.
What you see
Every month you receive an owner statement showing rent charged, rent received, any arrears, expenses with invoices attached, our fee and the net amount paid to you. The numbers match your bank deposit to the cent — that's the standard.
Note: Ontario does not allow security or damage deposits. A landlord may collect a last month's rent deposit (and a refundable key deposit). We set these up correctly at lease signing and apply the required annual interest on the rent deposit.
When do I receive my rent?
On a fixed payout date each month, agreed in your management agreement, together with your owner statement.
What happens if a tenant stops paying?
We follow up the day after the due date, serve an N4 if the balance isn't cleared, and — with your approval — file an L1 application with the Landlord and Tenant Board and represent your file through the process.
Can tenants still pay by cheque?
We strongly prefer electronic payments because they're traceable and on time, but we can accommodate exceptions where a tenant genuinely needs it.
